Booking & Cancellation Policy

When a booking is confirmed, equipment, studio space, and photographer time are committed to your appointment. Payments are non-refundable; rescheduling with 48 or more hours notice is free; inside 48 hours, a credit-split keeps thirty-five cents of every dollar working for a future booking.

01. Introduction

At BusinessPortraits.ca, when your booking is confirmed, resources are instantly committed exclusively to you. This means that equipment is arranged from distributors, studio or location space may be reserved, and skilled photographers and staff are allocated specifically for your appointment, foregoing other bookings for that time slot.

Why this matters

The economics behind the rescheduling rules below: a confirmed booking is a real-world commitment of crew, gear, and time. The 65/35 split inside 48 hours covers the cost we cannot recover from a cancelled slot.

02. All sales final

Due to the dedicated allocation of resources and production costs, all sales are final and non-refundable. All payments made at the time of booking are non-refundable. Cancellation of a confirmed booking does not entitle the Client to a refund under any circumstances, including unforeseen events, illness, or force majeure.

Reschedule, don't cancel

A cancelled booking is forfeited; a rescheduled booking keeps your money working. Email info@businessportraits.ca with the new date the moment plans change. The team is flexible inside the 48-hour window.

03. Rescheduling with 48+ hours notice

If plans change, you can reschedule your appointment at no additional charge by contacting BusinessPortraits.ca at least forty-eight (48) hours before your scheduled appointment. Rescheduling requests must be made in writing via email to info@businessportraits.ca. Rescheduling is subject to availability.

04. Rescheduling with less than 48 hours notice

If you need to reschedule within forty-eight (48) hours of your scheduled appointment, a rescheduling fee applies. Sixty-five percent (65%) of the original payment is forfeited, and thirty-five percent (35%) is retained as a credit toward a future booking. When booking a new appointment, full payment is required; the credit will be applied to reduce the amount owed. Credits do not expire and may be transferred to another individual or company.

Original booking $1,000 · rescheduled inside 48 hours · $650 forfeited, $350 credit. New booking $1,000 paid in full at time of booking, balance after credit applied: $650. Credits do not expire and may be transferred to another individual or company.

05. Rescheduling limits

Bookings may be rescheduled a maximum of two (2) times. A third rescheduling attempt requires full payment of the original booking fee as a new booking.

06. Transfer of booking

If you are unable to use your booking, you may transfer your booking credit to another individual or company by contacting BusinessPortraits.ca prior to the scheduled appointment. To arrange a transfer, please email info@businessportraits.ca with the details of the new recipient.

07. No-shows

If you fail to appear for a scheduled appointment without prior notice (a "no-show"), the entire payment is forfeited. No refund, credit, or rescheduling will be provided for no-shows.

08. Late arrival

Each appointment is allocated a specific duration. BusinessPortraits.ca will wait no more than fifteen (15) minutes beyond the scheduled start time. If you arrive more than fifteen (15) minutes late, BusinessPortraits.ca reserves the right to proceed with an abbreviated session or treat the appointment as a no-show, particularly if subsequent bookings would be affected.

09. BusinessPortraits.ca cancellation

If BusinessPortraits.ca must cancel due to illness, emergency, equipment failure, acts of God, extreme weather, or other circumstances beyond reasonable control, the appointment will be rescheduled at no additional cost to the Client. No refunds will be issued in such cases.

10. Print products

Print orders may be fulfilled by third-party professional photo labs. Any returns, reprints, or refunds related to print orders fulfilled by third-party labs are subject solely to the return and refund policies of the respective lab. Custom framing orders are final sale and non-refundable once production begins.
